How it runs with AI

At 7 am, the AI reads yesterday's invoices and held orders in Busy, the credits and balances in the bank portal, and the Razorpay settlement. It compares the month so far with plan and sends the founder one Google Chat message by 8 am, with the items that need a decision on top. Payments it cannot tie to a customer go to the accounts team to name.

How it is done today

Each morning, the accountant exports yesterday's invoices from Busy, logs in to each bank account, downloads the Razorpay settlement and works out who paid. The numbers reach the founder in a message by late morning, and a question about one distributor's dues waits until the accountant can look it up.

Step by step

Where the work happens, what the AI does, and where it hands over to a person.

  1. Step 1, AI

Reads yesterday's invoices, website orders and held orders in Busy

Needs to know: Credit limits and holds

    In Busy

  2. Step 2, AI

Reads the bank credits, balances and the Razorpay settlement

Needs to know: Past payments by customer

    In Bank portal , Razorpay

    Exception to step 2

Sends any payment it cannot tie to a customer to the accounts team to name

  3. Step 3, AI

Compares the month so far with the month's plan

Needs to know: Monthly sales plan, Collections target

    In Busy

  4. Step 4, AI

Sends the founder one Google Chat message by 8 am, with the decisions on top

Needs to know: Items the founder decides

    In Google Chat

  5. Step 5, Person

Decides what needs action, such as a held order or a push on distributor sales

    In Google Chat , Busy

What stays with a person

  • Decides what needs action, such as a held order or a push on distributor sales

Apps in this example

  • Busy
  • Bank portal
  • Razorpay
  • Google Chat

The same flow works with the apps you use.

This fits you if

  • You sell through 100 or more distributors or dealers, and most pay by bank transfer
  • Your books are in Busy, and part of your sales are paid online through Razorpay
  • The founder asks for yesterday's numbers every morning
  • Someone in accounts spends the first hour of the day pulling them together

What to watch for

  • The summary reads what is in Busy at 7 am. Invoices typed in later show the next day, so the team posts each day's invoices before closing
  • A payment with no clear name, such as a cash deposit at another branch, goes to the accounts team to name before it counts as collected
  • Releasing a held order and changing a distributor's credit limit stay with the founder or the sales head
  • The bank access is view-only. The AI reads balances and credits, and moves no money
